Vigilbase sends contracts, agreements and other documents for electronic signature from Vigilbase One. You do not need a Vigilbase account to sign. You get an email with a personal signing link that opens the document at https://one.vigilbase.com/public/sign.
Sign the document
The steps you see depend on how the sender asked you to confirm your identity. The page shows them as steps: Review, then Verify email and Verify ID if they apply, then signing.
Open the link from your email. The page shows who sent the document and, if several people sign, the signing order.
Agree to sign electronically. Under Before you start, read Electronic records and signatures, tick I agree to use electronic records and signatures and select Continue.
Confirm your email, if asked. Select Send code, then enter the 6-digit code from the email and select Verify. The code expires after 10 minutes, and after five wrong attempts you need a new one. Use Resend code if it does not arrive.
Verify your ID, if asked. Select Continue to Stripe and follow Stripe's steps to photograph a government-issued photo ID and take a selfie. A phone camera works best. Stripe handles the check; Vigilbase receives only the result and your verified name, never images of your ID.
Fill in the fields. Under Review and sign, fill in the highlighted fields. Select Start or Next field to jump to the next one. Your name and the date are added automatically.
Adopt your signature. When you reach a signature field, type your Full name or switch to Draw and draw your signature, then select Adopt signature. Tick Save my signature for next time to reuse it on later documents.
Select Finish and sign. Selecting it confirms that your electronic signature is the legal equivalent of your handwritten signature.
If the sender only needs your agreement rather than a drawn or typed signature, you confirm your name and select I agree instead. If you are an approver rather than a signer, the final button is Approve.
Sign on your phone
To draw your signature with your finger, select Sign on your phone (or Sign on another device in the menu on a small screen). Scan the QR code with your phone's camera and finish there. The code works for two hours; select New code to get a fresh one. The page on your computer updates when you are done.
After you sign
- If others still need to sign, the page confirms your signature and you can select Download a copy.
- When everyone has signed, the document is sealed with a certificate of completion that records who signed and when. You receive the signed copy by email, with a download link that works for 30 days. You can also select Download signed copy on the signing page.
If it is not your turn yet, the page says who needs to sign first. You get an email when it is your turn, and you can read the document in the meantime.
Request changes or decline
Open the More options menu at the top of the page:
- Request changes: describe what should change and select Send request. The request pauses for everyone, and the sender sends you a revised version to sign.
- Decline to sign: give a reason and select Decline. The request ends for everyone and cannot be undone; the sender would need to send a new one.
You can also select Something wrong? Request changes below the document.
Download PDF in the same menu downloads the document before you sign.
